Privacy Policy
Axle Operations Systems ("Axle," "we," or "us") is an independent software studio based in Port Moody, BC, Canada. This policy explains what information we collect, why we collect it, and what your rights are.
Short version: we only collect what we need to reply to you, deliver work we've agreed to, and run a small website. We never sell your information. If you ever want it deleted, email us and we'll do it.
1. Information we collect
From this website. When you fill in the contact form, we collect your name, email address, project type, and any details you choose to share. We may also collect standard request data (IP address, browser type, referring page) for security and basic analytics.
From the booking flow. When you schedule a call, we collect your name, email, chosen time, time zone, and anything you add to the optional notes field. The meeting itself is created on our Google Calendar and uses Google Meet for the video link — standard Google data handling applies (see Google's privacy policy). Confirmation, reschedule, cancel, and reminder emails are delivered through Resend (resend.com/legal/privacy-policy).
From client projects. When we work together on a project, we may handle data your business or your customers provide (documents, accounts, code, content). That data is governed by the Master Services Agreement (MSA) and Data Processing Addendum (DPA) on our terms page, not this site policy.
2. How we use it
- To reply to you and run our working relationship.
- To send proposals, invoices, and project updates.
- To keep our website running, secure, and improving.
- To meet legal, accounting, and tax obligations.
We do not use your information for advertising, profiling, or training AI models.
3. Who we share it with
We share information only with the small set of service providers we use to run the business — currently:
- Resend — for sending contact-form messages to our inbox.
- Cal.com — for scheduling intro calls.
- Vercel — for hosting this website.
- Google Workspace — for our company email and shared documents.
We do not sell, rent, or trade your information with anyone, ever. If a court or regulator demands it, we'll comply with the law — and tell you about it unless we are legally barred from doing so.
4. How long we keep it
We keep contact-form messages and project records as long as we need them to run the business — typically up to 7 years for invoicing and tax records. You can ask us to delete anything that isn't legally required, and we will.
5. Your rights
You can ask us at any time to: see what we have, correct it, delete it, or export it. Email hello@axleoperations.com with "Privacy request" in the subject line and we'll respond within 30 days.
6. Cookies & analytics
This site uses minimal first-party cookies for basic session and security purposes. We do not use cross-site tracking, advertising cookies, or third-party analytics that identify you personally.
7. International transfers
Axle operates from Canada. Our service providers may store data in Canada, the United States, or the European Union. By using this site, you understand that your information may be processed outside the country you live in.
8. Changes
We'll update this page when anything material changes and bump the "Last updated" date at the top. Significant changes — anything that affects existing clients — will also be communicated by email.
